VIEW FROM THE VALLEY – FEBRUARY 2020

The CVR board and activity chairs met on a Saturday morning in January to discuss the plans for the year ahead of us and start to populate the CVR calendar. The outcome of the meeting was a 2020 calendar of events that is essentially complete. We currently have 65 events planned, as the year progresses we may have a view additional events added to our calendar. The completeness of our calendar this early in the year is a tribute to the talent and dedication of our activity chairs and volunteers. My Thanks to them.

For 2020, the board has initiated the process of redesigning the CVR website. The goal is a completely new website design that will meet the needs of our club today and the near future. The last ground-up website design was completed in 2009 to replace the website that was created in 1998. We have formed a team with Mike Keller, Eric Richmond and Shelley Krohnengold to lead the redesign effort. More to follow in the coming months.

Thank you to the Programs team for kicking off the CVR year with the January monthly meeting at the Trailer Depot. It was a great time to meet up with our CVR friends as we begin the year. Our appreciation to Mike Duhamel and his team at the Trailer Depot for being our hosts and supporting CVR.

Notification of Bylaw Amendment Vote

Toward the end of last year, the board created policy G10 that describes the process that the CVR board uses to plan events such as our Planning Meeting in January. It also describes how events are planned subsequent to the Planning Meeting. Policy G10 is included below for reference.

In conjunction with the new G10 policy, an update to the Bylaws, Section 5 Duties of the Vice President(s) is being proposed by the board. The text in bold was added to the existing bylaw:

The Executive Vice President(s) shall perform the duties of the President in the absence of the President and shall perform the duties defined in the Bylaws and policies.

Per ARTICLE 9: AMENDMENTS OF THE BYLAWS AND POLICIES AND PROCEDURES, Section 1 Bylaws with respect to vote notification:

A vote on the proposed update to Bylaws, Section 5 Duties of the Vice President(s) as described above is scheduled to be held at the February Monthly Meeting on February 25, 2020.


Policy G10

A primary objective of CVR, as stated in Section 4(B) of its Bylaws, is to promote the enjoyment and the sharing of goodwill and fellowship among its members by engaging in such social and other activities as may be agreeable to them. To achieve this objective, the President convenes in the Month of January an Annual Planning Meeting, to which all members of the Board of Directors and other parties deemed appropriate by the President are invited. The outcome of the meeting is a list of approved CVR activities that will take place during the calendar year and information pertaining to them, including purpose, features, date, budget, sponsorship and affiliations. The list and related information provide essential reference to the Board of Directors in its work to ensure that club activities yield positive results by promoting the following criteria: (1) the objectives of the club, (2) coordination among activity chairs, (3) mutual benefit to the club and its sponsors, (4) compliance with PCA rules and regulations and (5) constructive foundation for future activities.

If the chair of an approved activity wishes to change it subsequent to the Annual Planning Meeting (e.g., new date, different sponsor, additional feature), the chair must communicate the request to do so to the President. The President will determine if the proposed change (1) meets the criteria specified in the first paragraph of this policy, (2) satisfies the standards of timeliness, budget, and purview and (3) complements club-wide initiatives in special events, community service and coordination of sponsors. The President will approve or deny the request for change accordingly.

If a CVR member wishes to propose a new activity subsequent to the Annual Planning Meeting, the member must communicate the intention to do so to the Executive Vice President. The Executive Vice President will work with the member in determining if the proposed new activity (1) meets the criteria specified in the first paragraph of this policy, (2) satisfies the standards of timeliness, budget, and purview and (3) complements club-wide initiatives in special events, community service and coordination of sponsors. When these conditions are met, the proposal for the new activity will be submitted to the Board of Directors for action.

In exigent circumstances, the President may modify the event-approval process described in paragraph three of this policy. The President will inform the Board of Directors of the modification(s) and the related rationale.
